Getting started
What is the process for creating my account?
Click on the Register button. You will be taken to a screen giving you the option to register as an Individual or Healthcare Professional. Click on the relevant option and complete your registration details.
For further information on setting up your account, take a look at the Help Guide or send us an email at help@evitas.co.uk.
What happens if I forget my login password?
On the Login screen there is a Forgotten Password link. Click on the link, put in your registered email address and press Send. You will then be advised that a code has been sent to your email address. Put in the code and then create and confirm your new password. A message will appear to say that your password has been reset.
You can then login with your new password..
What do I do if my patient is not registered on Evitas?
You can send an invite to connect to your patient through the Connection section on Evitas.
What are the benefits to my administrative team?
Your administrative team will have access to the Evitas platform and will be able to:
- Communicate directly with patients using the in-built mail system and other communication features.
- Arrange both remote video consultations and in-person appointments through the scheduling module, with automatic instant notifications sent to patients.
- Upload clinic letters, prescriptions, investigation results, and other correspondence directly to the patient’s dashboard, eliminating the need to print, post or email documents.
- Create correspondence letters within Evitas which can be uploaded directly the patient dashboard and shared with other HCPs connected with their care.
- Send and receive emails within Evitas, ensuring all patient-related correspondence is stored in one secure, easily accessible location.
How will Evitas improve patient care?
Evitas is a novel personal electronic health record (PEHR) that allows you to develop integrated patient care through direct communication with patients and other HCPs involved in their care. Patients and HCPs jointly participate in the maintenance of the health records which will ensure that records are always up to date from all sources.
Instant communication between all stakeholders involved in patient care will ensure it is optimised. Patient reported outcome measures along with other assessments can be incorporated into Evitas to review the patient journey.
It has also been demonstrated that the patient’s access to their own medical records improves health outcomes for chronic diseases such as diabetes, hypertension or heart failure.
Furthermore, patients access their own records, combined with the ability of healthcare professionals to submit an electronic care plan can improve medical decisions at subsequent visits and improves patient satisfaction.

Security & privacy
Is Evitas a safe and secure platform?
We understand the sensitivity and importance of your data. Evitas has been developed to the highest security standards. Evitas meets all legal UK requirements. It is hosted on Amazon Web Services (AWS) one of the safest UK based cloud platforms and all safety features are regularly reviewed. The connectivity between the browser and application is via secure protocols. We carry out regular strict and stringent penetration testing to identify any vulnerabilities for remediation. We use an independent data protection officer to review all procedures to ensure compliance with UK laws and regulations. Evitas is GDPR compliant. Does Evitas meet NHS standards for digital healthcare products?
Evitas meets the Digital Technology Assessment Criteria (DTAC) for health and social care giving you the confidence that our digital health tool meets the clinical safety, data protection, technical security, interoperability, usability and accessibility standards. The DTAC brings together legislation and good practice in these areas. It is the national baseline criteria for digital health technologies entering or already in use in the NHS.
Governance, compliance & medico-legal assurance
Are there any medico-legal risks for me or my patient?
All medico-legal aspects of safety and data are in accordance with UK laws and regulations. Evitas cannot control the accuracy of data uploaded which is the responsibility of the patients and HCPs as for any other electronic health record in the UK.
Can Evitas be used in medico-legal situations (e.g., providing evidence)?
Yes. Evitas maintains a complete audit trail of:
- Patient dashboard records (Diagnosis, Medications, Allergies etc).
- Document uploads.
- Access logs.
- Care plans.
- Messages.
- Consent changes.
This audit trail meets UK medico legal standards and can be used for evidential purposes if required.
What happens if a patient withdraws consent for data sharing?
YPatients can withdraw consent for data sharing at any time. When this occurs:
- You will receive a notification.
- Access is revoked according to the patient’s wishes.
- Data remains securely stored in line with UK retention laws.
- Healthcare professionals can access all records up to the point that consent was withdrawn for data sharing.
This ensures legal compliance while respecting patient autonomy.
Data integrity, record management and access control
Can records be altered once they are uploaded?
All documents that are uploaded regardless of format will be converted to PDF and will be read only and hence cannot be modified.
Correspondence letters created by you for your patient within Evitas can be edited at any point prior to forwarding to your patient. Patients cannot modify these correspondence letters.
Furthermore, an audit trail is established for each interaction with medical records.
How does Evitas handle patient-entered information?
Patient-entered information (e.g., symptom trackers, PROMS, medication logs) is clearly labelled as patient- reported and kept separate from clinician-generated records and information. HCP’s can review and comment on entries made by patients.
Can I add other HCPs involved in the patient’s care?
No, only patients can invite HCPs to have access to their medical dashboard. You may refer a patient to an Evitas registered HCP who can then send a connection request directly. If the HCP is not registered, then you can ask the patient to send them a connection request. Alternatively, the HCP can register on Evitas and send the patient a connection request.
Will Evitas give patients too much access to me?
Recent meta-analysis shows that patients who have access to their health data manage it responsibly and this access improves treatment adherence, self-management, patient involvement and empowerment, healthcare communication and relationship, patient satisfaction and health outcomes, and use of healthcare resources (J Med Internet Res 2024;26:e56473 doi: 10.2196/56473). Evitas allows HCPs to control access of patients to them by choosing which notifications they wish to receive.
Clinical collaboration, MDT functionality and long term condition management
Can Evitas support multidisciplinary (MDTs) and cross specialty collaboration?
Yes, Evitas enables secure cross specialty collaboration by allowing authorised clinicians to view shared records, add clinical documentation, create care plans, and communicate through secure messaging. This reduces duplication, streamlines MDT discussions, and ensures all relevant HCP’s have consistent, real time information.
Is Evitas suitable for private practice as well as NHS work?
Evitas is designed for seamless use in both NHS and private settings. It supports:
- Private clinic workflows
- Integrated NHS – private care pathways.
- Shared care plans across systems.
- A unified patient held record that travels with the patient.
This eliminates duplication and enhances continuity of care.
Can Evitas support remote monitoring and long-term condition management?
Yes. Evitas includes structured tools such as patient dashboards with up-to-date diagnosis, medication and prescriptions, allergies, vaccinations, clinical documents and investigation results. These can be reviewed remotely, enabling clinicians to monitor chronic conditions, intervene early, and support self-management – improving outcomes while reducing unnecessary visits.
Billing, membership and account management
Can I temporarily suspend my subscription to Evitas?
No, this is not possible.
Do you offer a package for all my patients to have access to Evitas?
Yes, you can sign up to a package to give all your patients access. Please contact us for further information on this service and how we can help you and your patients.
Can I terminate my Evitas subscription?
The first 6 months subscription to Evitas is free.
During this period, you can decide to terminate your subscription at any time. If you are on a monthly paid subscription no refund will be given for the current billing month but your access to Evitas will continue to the end of that month.
For annual subscriptions which are discounted in exchange for a 12-month commitment, if you do not complete this, the annual discount is removed for the period actually used. Any refund (if applicable) will be calculated by re-pricing the months used at the standard monthly rate. If this calculation results in zero or less, no refund will be due. Your access to Evitas will continue to the end of the month you requested termination.
It is your responsibility to ensure when terminating your subscription that you have sufficient time to download any data you require. Data can be downloaded for as long as your subscription is active for the period of your contact with the patient on Evitas.
If continued access beyond the end of the current billing month is required in order to download, export or manage your data, you will be required to pay for an additional month’s subscription to maintain access for that period.
Once your contract is terminated you will no longer have any access to your patient data.
Do I get a cooling-off period?
Yes. We offer a 14-day cooling-off period from the date of first sign up. If you cancel within this period:
- You will receive a full refund.
- Your access to Evitas will be withdrawn.
- Any data will be handled in line with our Terms and Conditions of Use and Privacy Policy.
What if I need more time to download my data after cancelling?
If you require access beyond the end of your current billing month in order to download, export or manage your data, you will need to pay for an additional month’s subscription to maintain access. This ensures continued secure access while data is exported properly.
How is an annual refund calculated?
If applicable, refunds are calculated as follows:
Annual fee paid – (number of full months used x standard monthly price)
The standard monthly price (not the discounted annual equivalent) is always used.
Do you charge administration or cancellation fees?
No. We do not charge separate administration or cancellation fees.
Why don’t you refund unused time automatically?
Evitas provides secure platform access, hosting, governance and support from day one. Once access has been granted, these services are delivered regardless of usage. This approach is consistent with standard healthcare SaaS platforms
Practice efficiency & workflow optimisation
Can Evitas reduce did not attend in (DNA) rates?
Yes. Evitas automatically sends appointment reminders, video consultation links and preparation instructions and follow up notifications. Improve communication significantly reduces DNAs improving clinic efficiency and patient satisfaction.
Can Evitas improve consultation quality and time efficiency?
Yes, because patients can upload documentation, complete structured symptom trackers, and maintain updated medication records in advance, clinicians can:
- Review relevant data before the appointment
- Focus on decision-making rather than data gathering
- Identify trends through longitudinal dashboards
- Conduct efficient video consultations when appropriate
This enhances clinical value per consultation while supporting flexible, hybrid models of care.
Platform positioning and strategic differentiation
How is Evitas different from a traditional EHR?
Evitas is a patient-held record (PHR) platform, meaning:
- The patient owns and carries their longitudinal record.
- HCP’s contribute shared documentation.
- The record follows the patient across sectors and specialties.
- Communications is integrated directly into the record
- Duplication, paperwork, are missing information are minimised.
This provides a more collaborative and complete approach to care than traditional siloed EHRs.
Does Evitas replace existing hospital EHR systems?
While Evitas can be used as an independent EHR system it can also integrate with existing institutional EHRs.
It:
- Provides a shared, patient-centred layer across providers
- Reduces duplication of documentation
- Supports cross-sector communication
- Enhances continuity when patients move between NHS and private care
It complements existing infrastructure while empowering patients to carry a unified longitudinal record

What training or on board support is offered to HCPs and practice teams?
Evitas provides:
- Help guides.

Most users can fully adopt the platform within a single session.
Is there a limit to how many documents or investigations I can upload?
There is no practical limit. Evitas is hosted on scalable cloud infrastructure AWS UK region allowing secure storage of large volumes of clinical documents, imaging reports and correspondence.
Can Evitas support clinical research or quality improvement projects?
Yes. We are working on providing clinicians export of anonymised or pseudo anonymised datasets (with appropriate consents) for:
- Audits.
- QI projects.
- Research studies.
